Operator
FlashBill is operated by an independent developer based in England and Wales, currently trading as a sole trader. All legal, regulatory, and tax obligations — including those under the Data Protection Act 2018, the Consumer Rights Act 2015, the Consumer Contracts Regulations 2013, and HMRC requirements — are met on an individual-trader basis.
A formal company structure is in the process of being established. The company registration number and registered office address will be published on this page upon incorporation.

Legal Documents
The following documents govern your use of the FlashBill platform and our relationship with you. They form part of a binding agreement. Please read each document carefully.
- Terms of Service — the core agreement governing your access to and use of FlashBill, including subscription terms, acceptable use, limitation of liability, and your obligations as a user.
- Privacy Policy — how we collect, use, store, and protect your personal data in accordance with UK GDPR and the Data Protection Act 2018.
- Cookie Policy — the specific cookies and local storage technologies used on flashbill.co.uk, their purpose, and how to manage them.
- Refund Policy — your statutory and contractual rights in relation to subscription payments, including the 14-day consumer cooling-off period, cancellation, and how to request a refund.
Data Protection
FlashBill is the data controller in respect of personal data you provide when registering for and using the Service. We process your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
For invoice and client data that you input into the platform, you act as the data controller and FlashBill acts as your data processor, processing that data solely on your instructions to deliver the Service.
ICO registration: Our registration with the Information Commissioner's Office (ICO) is currently in progress. Our ICO reference number will be published here upon completion. You may contact the ICO directly at ico.org.uk or on 0303 123 1113 at any time.
To exercise your data rights (access, rectification, erasure, portability, restriction, or objection), contact us at admin@flashbill.co.uk with the subject line "DSAR". We respond within 30 calendar days.
Third-Party Service Processors
FlashBill uses the following third-party services to deliver the platform. Each acts as a data processor under a Data Processing Agreement. None are used for advertising purposes.
- Stripe — payment processing and subscription management (USA, covered by Standard Contractual Clauses)
- Postmark — transactional email delivery (USA, covered by Standard Contractual Clauses)
- Railway.app — cloud hosting and managed PostgreSQL database infrastructure (EU/EEA region)
- Cloudflare — DNS management, CDN, and DDoS protection (USA/global CDN, covered by Standard Contractual Clauses)
- Sentry — error monitoring using anonymised diagnostic data only (USA, covered by Standard Contractual Clauses)

FlashBill operates in compliance with the following UK legislation and regulatory frameworks:
- UK General Data Protection Regulation (UK GDPR) — data protection and privacy rights
- Data Protection Act 2018 — supplementary UK data protection law
- Privacy and Electronic Communications Regulations 2003 (PECR) — cookies and electronic marketing
- Consumer Rights Act 2015 — quality of digital services and consumer protections
- Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 — 14-day cooling-off right for online purchases
- Computer Misuse Act 1990 — prohibiting unauthorised access to our systems
- HMRC record-keeping requirements (Taxes Management Act 1970) — 7-year retention of invoice and financial data
