What a Sole Trader Invoice Needs to Contain

As a UK sole trader, your invoice is both a request for payment and a business record. HMRC requires that it contains enough information to identify the supply and the parties involved. Here is exactly what to include.

Sole Trader Invoice: Required Fields

Your Details:

  • Your full name (or trading name, but your real name must be identifiable)
  • Your business address
  • Your email or phone number (not required, but professional and practical)

Invoice Reference:

  • The word "Invoice" at the top

Adding VAT to a Sole Trader Invoice

If you are VAT registered, you must add additional fields:

  • Your VAT registration number (format: GB 123456789)
  • The net amount (before VAT)
  • The VAT rate applied (e.g., 20%)
  • The VAT amount
  • The gross total (net + VAT)

Your VAT registration number must appear on every VAT invoice. Without it, your client cannot reclaim the VAT.
